Its ability to host multiple sessions simultaneously and support for an unlimited number of attendees make it the ideal choice if you’re looking to host a large scale event.

vConferenceOnline is chock full of all the features a web conferencing solution could possibly have, and then some. In fact, there’s so much it’s overwhelming.

At the most basic level, you’ll get HD video, live group and one-on-one chat facilities as well as Q & A features such as discussion boards and email. You’ll also get detailed reporting on attendance and engagement.

However, vConferenceOnline truly shines when it comes to organizing large scale events. Features that make it the ideal choice for a big event include the ability to run multiple sessions at the same time, the ability to run contests and giveaways and e-commerce functionality. The latter is great if you want to charge an attendance fee or even sell products during your event.

Finally, you’ll also get access to professional production studios where you can host your physical event. 

Flexibility

vConferenceOnline is extremely flexible.

Provided you have an invite, you can access a web conference straight from the web without having to download any third party software. This means you can attend an event at your convenience, wherever you are in the world and irrespective of which operating system you’re using. All you need is a web browser.

But vConferenceOnline also offers tons of flexibility to organisers.

For one, you can invite as many attendees as you want, which means that the sky’s the limit when it comes to the size of your event.

The platform is also largely an open canvas. You can customize it to make it look closely like your own website, which ensures brand familiarity and recognition.

Finally, you can record your event live, pre-record it or even opt for a mix of the two. And with two production studios for you to use, you don’t even have to worry about finding a location for filming.

Security and Privacy

As you might have expected, vConferenceOnline is big on security and privacy,

Each attendee will need to be registered separately. Once you’re registered, you’re taken to a dedicated login page where you’ll need to authenticate yourself before you can enter the event. This ensures that no unwanted third parties can access the event.

All data transfers are fully encrypted; and the platform is continually monitored so as to ensure that security is maintained throughout your event. 

Ease Of Use

Navigating through a web conference is reasonably simple, at least for attendees.

When you access an event, you’ll be greeted by a home screen, aptly called the Conference Lobby. Sessions, the Exhibit Hall and the Help Desk are prominently displayed at the centre of the home screen. There are also easily accessible menus at the top and at the bottom of the page. Clicking on your choice of menu button takes you to a dedicated screen.

All screens are very simple to navigate. The sessions screen, for instance, is subdivided into boards, each showing what’s currently happening as well as a brief summary of the next upcoming session. All times are adjusted to your local time zone.

The Exhibition Hall is similarly well laid out, with a chat widget on top, a brief summary of the exhibitor at the centre of the page and a menu to your left.

Unfortunately, vConferenceOnline’s main issue is that it can do so much it gets a bit overwhelming. Setting up an event is bound to be a complicated process, and you’ll need a team of people to get thoroughly familiar with the platform first. 

Of course, if you’re planning to organize a full blown trade show or multi-day event, this is bound to be a complex process anyway. However, if you’re only planning a small event (a single presentation or a small scale training course, for instance) vConferenceOnline may simply be too much for you.

Customer Support 

Unfortunately, there is not much information available in the form of a knowledgebase or FAQs on vConferenceOnline’s website.

That said, it still has customer support that helps you every step of the way.

Besides live customer support via chat and phone to help with any issues that might arise during your event, you’ll also get a host of other features to support you even at the organization stage.

Whenever you host an event, you’re assigned your very own project manager and a producer. A Content Delivery Team helps with the nitty gritty of content delivery, from scheduling to coordinating speakers. You’ll also get a sales team to deal with any vendors or exhibitors you might have at your conference or even take care of sales themselves.

Finally, vConferenceOnline also has back-office assistance. You’ll get template documents, contracts and other materials you can use to base your web conference materials off of, as well as reporting tools, emailed joining instructions, FAQs and even credit card processing. 

Conclusion 

vConferenceOnline is excellent all round. It’s flexible, secure and has a ton of features. Unfortunately, the sheer amount of options available is also its downfall, as it leaves you very much overwhelmed. It’s also not easy to set up. If you’re planning to host a large event, vConferenceOnline is definitely the way to go. But if you’re planning something on a smaller scale, it may simply require too much effort to make it worthwhile.
